This page is maintained by Traix to explain how we handle personal data when you use our website and services.

1. Who we are

Traix ("we", "us") is a UK-based service providing AI visibility scoring, strategy and delivery for recruitment agencies, and publishing the Recruitment AI Index. Traix is the data controller for the information described in this policy.

2. Information you give us

When you request a free Traix score

We collect your agency's website address, sector or niche, location, and the email address you'd like your score sent to. We use these to run your assessment and deliver your report.

When you contact us or book a consultation

We collect your name, email address and anything you choose to include in your message, so we can respond and prepare for the conversation.

When you become a client

We collect the information needed to deliver Strategy and Delivery work — typically business contact details, website access credentials you choose to share, billing information, and records of our work together. Payments are processed by our payment provider; we do not store full card details.

3. Information we collect automatically

Like most websites, we collect limited technical information when you visit — such as pages viewed, approximate location, device and browser type — via cookies and similar technologies (see section 10). We use analytics services to understand how the site is used and to improve it.

4. The Recruitment AI Index and agency research

Traix researches how AI platforms describe and recommend recruitment agencies. To do this, we analyse publicly available information — agency websites, public directories, published reviews, and the responses generated by AI platforms such as ChatGPT, Claude, Gemini, Perplexity, Grok and Google AI Overviews.

This research concerns businesses, not individuals. Index listings and Traix scores relate to agencies as organisations. Where an agency is a sole trader, or where public information identifies an individual (such as a named founder), that information may constitute personal data — we process it under our legitimate interest in publishing independent market research, and we apply the safeguards below.

• We only use information that is publicly available or generated by public AI platforms.
• We do not publish private contact details, and we do not profile individuals.
• Scores are produced by a consistent, documented methodology — no one can pay to change a score or ranking.
• If you believe information about your agency is inaccurate, or you wish to query or object to your listing, email hello@traix.co.uk and we will review it promptly.

5. How we use your information, and our lawful bases

• To produce and deliver your free Traix score — taking steps at your request before a contract, and our legitimate interest in providing the service you asked for.
• To provide paid services (Strategy and Delivery) — performance of our contract with you.
• To respond to enquiries — our legitimate interest in communicating with people who contact us.
• To send relevant marketing emails — your consent, or the business-to-business "soft opt-in" where you have engaged with our services. Every email includes an unsubscribe link, and opting out is immediate.
• To run and improve the website — our legitimate interest, and consent where required for analytics cookies.
• To keep records and meet legal obligations — compliance with law (for example, tax and accounting requirements).

6. Who we share information with

We never sell your information. We share it only with service providers who help us run Traix, under contracts that protect your data:

• Form and scheduling tools (for score requests and bookings)
• Website hosting and infrastructure providers
• Email and productivity providers (for correspondence and internal records)
• Our payment processor (for client billing)
• Analytics providers (see section 3)
• Professional advisers, and authorities where the law requires it

A note on AI platforms: producing scores involves submitting prompts about agencies to AI services (such as OpenAI, Anthropic, Google, Perplexity and xAI). These prompts use public business information — we do not submit client-confidential material to AI platforms without your agreement.

7. International transfers

Some of our providers (including AI platforms and hosting services) are based outside the UK, primarily in the United States. Where information is transferred internationally, we rely on appropriate safeguards such as UK adequacy regulations, the UK International Data Transfer Agreement, or standard contractual clauses.

8. How long we keep information

• Free score requests: up to 24 months from your last interaction with us, so we can follow up and you can retrieve your report.
• Enquiries: up to 12 months after our last exchange.
• Client records: for the duration of our engagement and up to 6 years afterwards, to meet legal and accounting obligations.
• Index research data: retained while relevant to published research, and reviewed on request.

9. Your rights

Under UK data protection law, you have the right to access the personal data we hold about you, to have it corrected or deleted, to restrict or object to our processing (including direct marketing, which we will always stop on request), and to data portability where applicable.

To exercise any of these rights, email hello@traix.co.uk. We aim to respond within one month. You also have the right to complain to the Information Commissioner's Office at ico.org.uk — though we'd welcome the chance to resolve any concern directly first.

10. Cookies

We use essential cookies to make the site work, and analytics cookies to understand how it's used. Analytics cookies are only set where consent is required and given. You can manage or delete cookies through your browser settings at any time; the site will still work without non-essential cookies.

11. Security

We take reasonable technical and organisational measures to protect information — including access controls, encrypted connections, and limiting access to those who need it. No online service can guarantee absolute security, but we treat your data with the same care we'd expect for our own.

12. Children

Traix is a business-to-business service. Our website and services are not directed at anyone under 18, and we do not knowingly collect information from children.

13. Changes to this policy

We may update this policy as Traix and the law evolve. The "last updated" date at the top reflects the current version, and material changes will be flagged on this page.
